Challenge
As Qonto expanded across eight markets and 600,000 customers, its informal approach to product planning and system of walls covered in post-it notes could not scale with the growing organization. The company needed a digital workspace that could maintain alignment across growing teams, eliminate information silos, prevent duplicative work, and support its Lean principles while continuing to ship quality at speed. Maintaining transparency and collaboration across nearly 1,600 employees with traditional tools was becoming impossible.
Solution
Notion serves as Qonto's central operating system—a single source of truth for work and knowledge. The platform enables Qonto to centralize product development in databases with timeline views and automated progress tracking, maintain a three-layer architecture (company wiki, department teamspaces, and individual pages), connect workflows through linked databases, and integrate with other daily tools like FigJam, Whimsical, and Slack. Notion's flexibility allows teams to customize their own Kanban boards and workflows while maintaining company-wide visibility and alignment.
Execution
Qonto implemented Notion company-wide across all nearly 1,600 employees, from interns to the C-suite. The company built a three-layer architecture: a comprehensive company wiki as the source of truth for policies, values, and documentation; department-specific teamspaces displaying missions, objectives, and Kanban boards; and individual subpages for personal workflows. Product development was centralized in a Notion database with timeline views of the roadmap, and product marketing and ops teams use linked databases to create their working Kanbans. Qonto uses automations and formulas to track task progress and send automatic notifications when statuses change. The company integrated Notion with other tools like FigJam, Whimsical, and Slack to centralize work, and implemented page verification to ensure information stays relevant and templates to keep processes consistent.
