Challenge
WorkLeap's manual quoting process created friction at the critical decision point for customers. The system maintained 12+ quote templates (variations in English and French, with and without discounts, plus custom proration scenarios) and couldn't handle proration or co-terming calculations. Quotes displayed full annual amounts even when customers were charged only for partial terms, causing confusion. Sales reps had to exit HubSpot to use a separate tool with limited functionality that didn't reliably sync back to the CRM. Sales managers lacked visibility into quote changes and spent half a day weekly on manual data extraction, compilation, and sentiment analysis instead of coaching and selling.
Solution
WorkLeap implemented HubSpot's Commerce Hub, a native CPQ solution integrated within the HubSpot platform. Using Commerce Hub's quote template builder, the team consolidated 12+ templates into just 2 (English and French). Dynamic features eliminated duplicate variations. The team customized templates with proper legal language, added custom sections, and built API integrations to pull billing contacts, PO numbers, and tax IDs. The system automatically handles proration and co-terming calculations, itemizing precise totals. Reps can customize addresses, add billing contacts, and choose between e-signature and print-and-sign options. Accurate billing information captured at the quote stage flows automatically through invoicing, subscription activation, and renewals.
Execution
WorkLeap began using Commerce Hub in mid-2025. The team copied previous templates into HubSpot's builder, preserving fonts, colors, and layout, then consolidated and customized from there. They worked with legal to ensure proper language in both English and French versions. API integrations were built to pull billing contacts, PO numbers, and tax IDs. The implementation was straightforward, with reps able to customize quotes minimally while maintaining accuracy. The team is rolling out Commerce Hub to account managers and customer success managers, testing bundles and renewal workflows, and building approval routing for complex discount scenarios.
Results
Since implementing Commerce Hub, quotes that once required verbal explanation and manual creation now happen in minutes with accurate pricing, terms, and details integrated automatically. Sales managers have reclaimed half a day each week previously lost to manual data extraction and compilation, now spent coaching reps and refining forecasts.
